Refunds & cancellations

Eligibility

Refunds apply to prepaid clinic seats and private review hours booked with Cortex Helix Field Academy Limited. Fees already used for a completed session are not refundable.

Timeframe

Cancel or request a refund in writing to info@reason-waypointway.click at least seven full days before the scheduled clinic or appointment start time for a full refund of the session fee and deposit.

Partial refunds

Cancellations received between six days and 48 hours before the start time receive a 50% refund of the session fee. The deposit portion covering printed pack preparation may be retained if packs have already been printed for your seat.

Non-refundable items

• Completed clinics, intensives, or private review hours
• Custom chart packs already printed for a private review
• Cancellations inside 48 hours of the start time, except where we cancel the session

If we cancel

If the academy cancels a clinic, you may choose a full refund or a transfer to a later published date at no extra seat fee.

Rescheduling

One complimentary reschedule is allowed when requested at least seven days before the original date, subject to available seats. Further reschedules may be treated as a cancellation under the partial-refund rule.

Deposits & no-shows

A deposit may be requested to hold a seat. No-shows forfeit the deposit and the remaining session fee unless prior written notice meets the partial-refund window.

Work already started

Once a private review hour has begun, the fee for that hour is earned. For clinics, attendance through the quiet annotation hour counts as a started session.

Refund process & timing

Email your booking name, session date, and preferred refund method. Approved refunds are processed within ten business days to the original payment method when possible.
